Your invoices and quotes are going to spam

When an invoice lands in spam, you get paid late. When a quote lands in spam, you lose the job to someone else. Either way, it costs you money.

Signs this is happening to you

  • Customers say they never got the invoice.
  • Payments come in later than they used to.
  • You resend invoices by hand, and those arrive.
  • Quotes get no reply, then the job goes to someone else.

Why do my invoices go to spam?

Invoices and quotes are often sent from a tool, not from your own mailbox: QuickBooks, Xero, FreshBooks, your booking system or your website. Each of these sends email in your name.

If even one of them isn't set up to prove it is allowed to, the inbox can't tell it apart from a fake invoice. Scammers send a lot of fake invoices, so the inbox plays safe and hides yours.

Why does a resent invoice arrive when the first one didn't?

Because you sent it yourself, from your own mailbox, which can prove it's you. The first one came from the tool, which couldn't. Same words, same name, very different result.

Why doesn't my IT person know?

Tools get added over the years by different people. No one keeps a full list. A tool that was set up right can be broken by a later change to something else. From the outside it all still looks fine.

What we find that others miss

These are small things. Each one is enough to send your email to spam, or let a fake through.
